Staff Password Policy
To ensure the security of both your personal accounts and the district’s systems, it’s important to use a unique password for your work accounts. Never reuse your work password for personal accounts or other services. Minimum Password Requirements: 14 characters in length. Cannot be a previously used password. No specific complexity requirements (e.g., symbols or numbers are optional), length is more important than character variety. Passwords that match known compromised passwords will be rejected. Passwords that follow easy-to-guess patterns (e.g., "Summer2024!") will be rejected. Certain words, including district site names, street names, and mascots, are banned and cannot be used in passwords. You can change your password at any time, but password resets will only be forced if there is a suspected compromise of your account. Tips for Creating a Strong Password: Use a passphrase instead of a traditional password. A passphrase is a combination of several random words, which makes it easier to remember while maintaining security. We suggest using useapassphrase.com to generate secure passphrases. 3 random words is often all you need to meet the length requirement. Avoid using personal information such as your name, birthday, or address, as these details can be easier for attackers to guess. Consider using a password manager like Bitwarden to securely store your passphrase and other login credentials. This allows you to create unique passwords for each website and service, ensuring that if one account is compromised, your other accounts remain secure. Enable multi-factor authentication (MFA) wherever possible for added protection. Student unable to sign into Aeries from Clever
A couple of notes about the Aeries link from the Clever dashboard: Students set their own Aeries password - it is not the password set by the district. Students can change their Aeries password at any time from the Aeries login page. The Clever dashboard link for Aeries is a "Saved Password" link. Students can update this password if the saved password doesn't work. If a student is unable to sign into Aeries from the Clever portal: Attempt to sign in with the username/password on the Aeries login page. If the password doesn't work, click the Forgot Password? link on the sign in page. Follow the steps for resetting your Aeries password, it will send a link to reset the password to the student's district email address. Student accounts should be created automatically, but if you do not have an active account, you will have to "Create New Account" - You will likely need to reach out to your office to get your verification number to complete account registration. After resetting the password, confirm that you can sign into Aeries with it from the Aeries login page. After confirming that the new password works, update the Aeries Saved Password link in Clever. You can do this by clicking on the Aeries link in Clever, and letting the first attempt fail. Don't click anything for 5-10 seconds while it attempts to log you in and let it kick you back to the credential update screen. After updating the credentials click Update & Log in and you should be all set!

No Sound on Computer (HP Windows Systems - May 2022)
Problem: The IT Department has been pushing out some automated software and driver updates to workstations. One of these updates is for the audio driver. After the audio driver update is applied to the machine some systems have been losing audio. Solution: This has typically been able to be resolved by simply restarting your system. After restarting the computer you should have sound again. If you continue to have issues after attempting the solution above, please submit a support ticket with IT.

How to Sign in to Adobe Creative Cloud
Overview Adobe licenses are assigned to user accounts. The license you are assigned will dictate what Adobe software you have access to. Most full time staff who's job duties require use of Adobe products such as Adobe Acrobat have full access to the Creative Cloud suite. Students and staff without full license access can only access the full Adobe Suite on machines with a "Shared Device License". These installs are typically found in computer labs. Both sets of users will have access to some amount of online tools if you sign in at Adobe.com. If you have a full license you are also entitled to install this on any personal devices that you own. How to sign in Find and open the Adobe Creative Cloud app by opening it from either your desktop or start menu When prompted, enter your district email address in the "Email address field and click Continue. Alternatively, you may try to "Continue with Google". If prompted, be sure to select "Company or School Account" You should now be signed into Adobe. If you are properly licensed you should see apps listed that say Install. If they say "Buy" you are not licensed for those products. If you think you should be licensed for a product and are not, please submit a help desk ticket so we may assist you further.

Activating/Linking New Student/Parent Aeries Account (TAUSD)
Here you can find the steps needed to link your email account with your student Aeries account. This process must be completed before you can access the Aeries system. Information contained below only applies to families with students that attend the Trinity Alps Unified School District. Step 1: In any current web browser navigate to tausd.hosted.suhsd.net using the address bar. Step 2: Select the "Parent/Student" portal. Step 3: Select "Create new account". Step 4: If you are a parent linking a personal email to your students Aeries account, select the "Parent/Guardian" box. If you are a student linking your school email address to your Aeries account, select the "student" box. Step 5: Aeries will ask you to input the email address that you would like to login to Aeries with (Students should enter their school email address here). Enter and confirm a password to use with this account. Please save this information for future logins. Step 6: You will be brought to a screen in Aeries asking to provide a Student ID, Primary Home Telephone number, and a verification code that is specific to the student (this code is given out via e-mail at the beginning of the school year, so that students and parents can link their emails to their students Aeries account, please contact your school office if you need another verification code). Fill out the required information and press submit. Your email address and password can now be used to login and check student information in Aeries. For password resets, please follow steps 1 and 2 in this guide, and select "Forgot Password?". Follow the provided instructions to reset your account password.

Email Setup Guide for Cell Phones
This Guide is in Progress, the Android info was done from memory and may be wrong. The iPhone steps should work fine. For iPhone (iOS Users): Open Settings -> Click Accounts, then Click Add Account. Choose Google, and it will ask you to enter your email address. Enter your district email in the fields **********@suhsd.net It will require your Two Factor during login as usual, so accept the Push Notification when it arrives, then continue. You can choose what you want on your phone. Mail, Contacts, Calendar Beware: If you choose calendar or contacts it may overwrite your local phone calendar\contacts. Older iPhones have done this to me in the past, not sure if it still happens. Once done, you can exit settings and open your MAIL, CALENDAR, CONTACTS Apps as desired and it should be downloading your files to the phone. For Android Users: Open the GMAIL App. If you don't already have any accounts set up, the Welcome to Gmail screen appears. If it does hit Skip and choose Add an email address If you already have another account set up in it. Open the menu, scroll down to Settings and then tap Add Account. On the Set up email screen, choose Google Enter your district email address: **********@suhsd.net Hit next and choose what you want to sync to your phone. If you only want your email, then choose MAIL. If you would like your work calendar or contacts, you can choose those as well. It may ask if you would like to be notified when receiving emails and/or calendar notifications. Turn these off/on at your discretion.

I can't access X, Y, Z application - Start of the school year
We understand wanting to get access to your applications as soon as possible. There are a lot of wheels in motion this time of year and we're working diligently to get all of our district applications setup. To help you understand the process, here is a brief overview - Many of the districts applications are rostered via Clever or other integrations that communicate directly with your SIS (Aeries, etc..). Clever syncs student/teacher/section data every 4 hours from the SIS. Within Clever we make rules as to what teacher/student/section data should be shared with which applications. This sync of data between Clever and 3rd party applications usually happens nightly. The data that is shared will help auto-create accounts for students and teachers that fall within the parameters of those rules. Additionally, it provides a Single Sign-On (SSO) link within Clever that let's you and your students sign into that application from Clever without having to keep track of an additional username/password. The application in question is rostered via Clever or another integration with your SIS which is dependent on school year data from Aeries. We are waiting for the new school year's data to be published in the SIS before we can sync your data to the application in question. Once the data in the SIS is ready we will be working diligently to get your application setup as soon as we're able to. As soon as the data is available and being shared via Clever the icon for the application should appear in your Clever portal. Any questions about new curriculum or changes in curriculum are better to be funneled through your department head or colleague in charge of the curriculum. If you wish to ensure we have all the appropriate data for you, your students, and the applications that you need access to, please fill out this Service Request form (Request Application Access) as completely as possible. This form contains relevant fields that we need to make sure we get your applications setup as quickly as possible.

Teacher missing district Clever Apps
In August 2022 Clever made a change to the portal for teachers that have thrown some teachers for a loop. If you don't see all of the apps that you're expecting, make sure to click over to the District Page. Any Apps that you favorite on the District Page should show up on the "My Teacher Pages" in the future. Google Classroom assigned document is not accessible by teacher or student
The problem Occasionally a Google classroom file may become corrupted with neither the teacher or student able to open the file. Identifying the problem A student sees an assigned document as "Drive File Unknown File" as shown in the below screenshot. Resolving the problem Have the student follow these steps to resolve this issue: 1) Click the X to delete the file 2) Click "Make a copy" The file should then be recreated and available to the student and teacher to access.

How to access New York Times with academic pass
Congrats! As a student or faculty member at Shasta Union High School District, you have access to The New York Times. Get started by following these easy steps: 1. Visit nytimes.com/passes to activate your New York Times digital pass. 2. On nytimes.com/passes, click on "Register" and create a free account using your school email address. We would suggest using the Google SSO option with your district email account. If you already have registered a free NYTimes.com account associated with your school email address, simply login. 3. Validate your email address. Check your email inbox for a confirmation message from The New York Times. Click on the link in your confirmation message to validate your email address and claim your New York Times Academic Pass. This will bring you back to the academic pass page, where you will select whether you are a student or faculty member and select your graduation year if relevant. Note: If the confirmation email doesn’t arrive, check your spam folder. If it isn’t there, send an email to schools@nytimes.com from your school email address to request confirmation. 4. Success! You have successfully claimed a Digital Pass when you see the "Start Your Access" screen. 5. Explore NYTimes.com and The New York Times News App from any location, on or off campus, by simply logging into your NYTimes.com account directly on NYTimes.com! We strongly suggest you download the New York Times mobile app at nytimes.com/mobile. NYT Cooking and NYT Games are not included in your digital access. To claim a new Pass after expiration, simply visit nytimes.com/passes and log in with your NYTimes.com account associated with your school email address. *Your New York Times access does not include e-reader editions, New York Times Cooking, or New York Times Games, including Premium Crosswords or digital versions of The New York Times Crossword. Mobile apps are not supported on all devices.
