Mosaic - Picture Upload/Update
Thank you for contacting Heartland School Solutions. This message is in regards to your prior inquiry on having Mosaic match student photos as they show in the district's SIS. The process in Mosaic for importing student pictures is separate from the student import process, as the nightly student import does not bring photo information. If you would like to import student pictures into Mosaic, please refer to the information below to complete this process. If you have any questions or concerns, or you would prefer to have someone from Heartland complete the photo import for you, feel free to let us know.
Student Photo Import
Perform the following procedure to import student photos into Mosaic. Upon a successful import, student photos will display at the POS serving line and on the student maintenance screen.
Recommendations/Requirements
All picture files must be JPEG (xxxxxx.jpg) format.
All picture files' name must match the District ID of the student/adult in Mosaic.

The picture file size must not exceed 1.5 megabytes.
This process will require an SFTP client to transfer files to your cloud location.
Upload Photos
Download and install an SFTP client such as Filezilla or WinSCP
Using your SFTP Client, connect to the Mosaic provided SFTP using the following credentials:
Host: sftp.heartlandmosaic.com
Port: 22
Protocol: SFTP
Logon Type: Normal
User: [Provided by the food service director of the district, or mosaic tech support]
Password: [Provided by the food service director of the district, or mosaic tech support]
Once connected Create a new folder and name it "Photos"
Upload the photos from your computer to the "Photos" folder on the SFTP
The complete picture upload can take minutes to hours, depending on the size of the photos, the amount of photos and your internet connection.
Setup Student Photo Import
In Mosaic, use the navigation bar to the left and click Students.
Click Import.
Click Express Student Photo Import.
If you are a cloud user, set the folder field to "\\ehps\data\SchoolSolutions\MOS\xxxx\yyyy" (No Quotes).
Replace xxxx with your Mosaic ID, which is 0615690
Replace yyyy with the folder you uploaded the photos to on the SFTP (be sure to include any subfolders, ie if you uploaded the photos to a folder named Photos then replace yyyy with Photos, but if you uploaded the photos to a folder named Photos in a folder named District then replace yyyy with District\Photos)

Click Import Photos.
A window displays “Are you sure you want to import the file?” Click Yes.
When the import is done, you will be returned to the Import Search screen.
Note: The import can take up to an hour depending on the size of the photos and the amount of photos.
Verify student photos are on the correct student records by confirming several student records.
Click Students > Maintenance, then select a student, photos will be under the general tab.
Student Photo Maintenance
Manually Add or Change a Student Photo
Perform the following procedure to add or change a student photo.
From the left-hand navigation bar, click Students.
Click Maintenance.
Set the fields to the applicable search criteria. You can click Advanced Search for additional fields to assist with your search.
Click Search.
Double-click the student’s name to select and open the student maintenance screen. The photo will display within the General tab.
Click Change Photo.
Browse to the location of the photo on your computer and select the file.
Click Save.
Remove a Student Photo
Perform the following procedure to remove a photo from a student record.
From the left navigation bar, click Students.
Click Maintenance.
Set the fields to the applicable search criteria. Click Advanced Search for additional fields to assist with your search.
Click Search.
Double-click the student’s name to select and open the student maintenance screen. The photo will show under the General tab.
Click Remove Photo below the student’s photo.
Click Save.
